Guide to Using Charts in PowerPoint (PC & Mac)

Charts are one of the fastest ways to turn a slide full of numbers into a point your audience actually remembers. But PowerPoint’s charting tools work slightly differently depending on whether you’re on Windows or Mac, and most guides only cover one platform. This guide walks you through both, from inserting your first chart, choosing the right chart type, formatting it properly, and linking it to Excel so it updates automatically.

Adding a Chart in PowerPoint in 5 steps

On PC (Windows)

  1. Go to Insert > Chart on the ribbon.
  2. Pick a chart type and a specific style from the dialog box.
  3. A small Excel-style spreadsheet opens automatically alongside your slide.
  4. Type or paste your data into that spreadsheet.
  5. Close the spreadsheet window, and your chart updates on the slide immediately.

On Mac

The steps are almost identical, which is one of the few areas where PowerPoint for Mac and PC line up closely:

  1. Go to Insert > Chart in the ribbon (or Insert menu > Chart in older versions).
  2. Choose your chart type from the gallery.
  3. PowerPoint opens a linked Numbers-style or Excel worksheet where you enter your data.
  4. Close the worksheet, and the chart appears on your slide.

One practical difference worth knowing is that on Mac, the data window opens in a separate app window rather than docking beside the slide, so it’s easy to lose track of it behind other windows. Check your tab dock if it seems to have disappeared.

Picking the Right Chart Type

The chart type you choose matters more than any formatting decision you’ll make afterwards. Here are the 4 most popular to choose from;

  • Column chart: best when comparing values across categories, especially changes over time (e.g., revenue by quarter). Vertical bars read naturally left-to-right, matching how most audiences scan a timeline.
  • Bar chart: the horizontal version of a column chart. Use it when your category labels are long (product names, survey questions), since horizontal bars leave room for the full label without wrapping or shrinking the font.
  • Line chart: best for showing trends over a continuous period, like monthly performance across a year. Avoid using more than four or five lines on one chart, or it turns into visual noise.
  • Pie chart: only appropriate when your data represents parts of a single whole that add up to 100%. If your numbers don’t sum to a meaningful total, a pie chart will mislead more than it clarifies.

If you’re unsure which fits your data, a rough gut check works well: are you comparing amounts (column/bar), showing change over time (line), or showing proportions of a total (pie)? Editing and Formatting Your Chart

Once a chart is on the slide, PowerPoint gives you several ways to adjust it, and these menus are largely consistent across both PC and Mac.

Changing the underlying data 

Click the chart, then open the Chart Design tab and select Edit Data. The spreadsheet reopens so you can revise numbers, add rows, or fix labels.

Changing the chart type 

Right-click the chart and choose Change Chart Type, or use Chart Design > Change Chart Type on the ribbon. This is useful if you’ve built the chart and realise a bar chart would communicate the point better than the column chart you started with.

Adjusting chart elements 

Click the small + icon that appears in the top-right corner of the chart when it’s selected. This opens a checklist where you can toggle axes, gridlines, data labels, and the legend on or off. Turning off elements you don’t need is often the single biggest improvement you can make to a cluttered chart.

Mac note: 

The + icon and Chart Design tab both exist on Mac, though the exact position of some formatting panes (particularly the Format Chart Area sidebar) sits on the right of the screen rather than as a pop-out menu, depending on your version.

Automatically Updating Graphs By Linking Live Excel Data (Pro Tip)

If your chart’s source numbers are likely to change (a monthly sales figure, a running total, a live project metric) the good news is that you do not have to rebuild the chart every time. Instead automate it by doing the following;

  1. Build and format the chart in Excel first.
  2. Copy the chart (not just the data).
  3. In PowerPoint, use Paste Special and choose Keep Source Formatting & Link Data (or the “Link Data” paste option).

This creates a live link between the two files (Excel where the data is held and PowerPoint). When the Excel file updates, opening the PowerPoint file, or manually refreshing the link, pulls the new numbers through automatically. It’s especially useful for recurring reports, board decks, or dashboards you rebuild every month, since you only update the source spreadsheet once. The trade-off is that the link only works reliably if the Excel file stays in the same location; moving or renaming it can break the connection on both PC and Mac.

Keep Your Charts Readable And Easy To Digest

Your chart will still fall short if it’s overloaded. Here’s what we would recommend to avoid that common pitfall;

  1. Limit your data points. Aim for 5-7 categories or series per chart. Beyond that, viewers can’t hold the comparison in their head, and the chart starts working against you rather than for you.

  3. Turn off unnecessary elements you don’t need. If every bar already has a data label, you probably don’t need a y-axis as well, since showing both is redundant and adds clutter.
  4. Stick to your presentation’s colour palette and keep it on brand. Charts inserted via PowerPoint’s tool inherit your theme colours automatically, which keeps them consistent with the rest of the deck, one more reason to use Insert > Chart rather than pasting a static image from Excel.
